Regional Team Coordinator Agreement

This agreement outlines the expectations and responsibilities of the Regional Team Coordinator role with The City Carolers. By initialing each section and signing below, you acknowledge that you have read, understood, and agree to fulfill these responsibilities.

1. Role, Compensation & Commitment

  • Contracted position is Seasonal Regional Team Coordinator.

  • This role reports to the Owners/Founders (Ray & Karen Schnurr).

  • Compensation is $75 per booked gig within my designated region.

  • Compensation is directly tied to the number of successfully booked and fulfilled performances.

  • Coordinator is available for responsibilities from July through December.

  • First year coordinators may begin training and team-building between April and May.

2. Skills & Professional Expectations

The role of Regional Coordinator requires the following:

  • Strong musical ability and ensemble singing experience

  • The ability to recruit, evaluate, and rehearse quality singers

  • Organization, communication, and leadership skills

  • Willingness to learn and effectively use company systems and apps

  • I agree to uphold a high level of professionalism in all communication and leadership responsibilities.

3. Recruitment & Team Development

The role of Regional Coordinator requires the following:

  • Recruit and audition singers and gig leads according to company standards

  • Build balanced and qualified SATB quartets

  • Keep the Music Director informed of recruitment progress

  • Ensure all singers meet performance and preparedness expectations

4. Rehearsals & Performance Readiness

The role of Regional Coordinator requires the following:

  • Organize and lead rehearsals at an appropriate location

  • Set and maintain high standards for musical excellence

  • Ensure singers:

    • Learn all required music

    • Obtain appropriate costumes

    • Are performance-ready by required deadlines

  • Follow the Central Operations rehearsal schedule and overall timeline

5. Systems, Communication & Admin

The role of Regional Coordinator requires the following:

  • Learn and use the company systems/apps, including:

    • Planning Center

    • Music Stand

    • WhatsApp

  • Train all team members in the use of these systems

  • Maintain accurate and updated singer info & schedule within Planning Center (This is how we track paychecks).

  • Create and manage a team communication group (WhatsApp).

  • Maintain accurate and updated singer information in Planning Center.

  • Direct singers to complete all required paperwork (Contracts, 1099s,...) before participation as well as payment.

6. Scheduling, Gigs & Client Experience

The role of Regional Coordinator requires the following:

  • Schedule singers and gig leads for all booked performances in his/her region.

  • Ensure appropriate quartet placement based on strengths and event needs as much as possible.

  • Communicate clearly with leads and singers regarding changes or adjustments.

  • Assist gig lead in resolving issues when needed to support a high-quality client experience.

7. Costuming, Quality & Company Standards

The role of Regional Coordinator requires the following:

  • Communicate and uphold all costuming requirements.

  • Ensure all performers meet company quality and presentation standards.

  • Confirm readiness by required deadlines.

  • Foster positive communication, collaboration, and team culture

  • I understand that failure to meet these expectations may impact my role and/or compensation
